What is a Digital Product Passport?

A Digital Product Passport (DPP) is a digital record connected to a product. It can bring together identification, materials, manufacturing, care, repair, environmental assessments and supporting documents. A person scanning a QR can read the information you have chosen to publish.

ToolsEdits is a manual information builder and publisher. Use it to organise real product records and communicate with customers, buyers or downstream partners. It does not inspect your product, fill gaps with AI or independently check the truth of your statements.

    Identify

Connect information to a model, batch or individual item.

    Explain

Record materials, origin, use, repair and supporting evidence.

    Share

Publish selected information at a stable link and QR.

    Gather your records before editing

Start with your product specification, real identifiers, material breakdown, care instructions and evidence you have permission to share. If you have an LCA or PCF report, keep the result, units, boundary, reporting period and methodology together.

    1. 1

      Decide who will read it

Separate customer-facing information from confidential supplier records, pricing, internal notes and private reports.

    2. 2

      Choose the product scope

Decide whether one passport represents a model, a manufacturing batch or a single item. Do not combine incompatible product variants in one record.

    3. 3

      Keep sources and unknowns clear

Use your actual documents. Mark unknown or not-applicable information honestly; an empty field does not mean zero impact or no hazardous substance.

Before publishing, ask the responsible product or compliance specialist which requirements apply. The builder’s suggested fields are a starting point, not an official checklist.

    STEP 1 OF 4

    Select your product

Open the editor and select the closest category. Categories provide useful starting fields, not a legal classification or approval.

Available categories: Textiles & Garments; Footwear; Bags & Accessories; Home Textiles; Furniture; Batteries; Electronics; Recycled Materials; Packaging; Other / Custom Product.

    1. 1

      Select a category

Choose the matching tile and press Build my passport. Other / Custom Product is available when the presets do not fit.

    2. 2

      Set Identification level

In the workspace choose Product model, Product batch or Individual product item. Add the corresponding model, batch/lot or serial details from the field library.

    3. 3

      Use the right identifier

Enter a real GTIN only if it has been assigned to your product. If no internal identifier is entered, saving can generate a TE identifier. It is not a registered GTIN or an official regulatory identifier.

The public passport URL identifies this ToolsEdits record. A TE identifier, a GTIN, a model number and a batch number have different purposes; do not treat them as interchangeable.

    STEP 2 OF 4

    Build and arrange your passport

On a larger screen the Field library, Workspace and Public preview sit side by side. On a phone, use the Fields, Workspace and Preview tabs to move between them.

    1. 1

      Find and add fields

Expand a library section or use Find a field. Tick a field, press its plus icon or drag it into the workspace. Added fields remain checked in the library.

    2. 2

      Enter the actual information

Each field uses an appropriate control: text, long description, number, percentage, date, country, choice, image, report selection or assessment stages. Use PNG or JPG for a product photo, up to 1 MB.

    3. 3

      Arrange the reading order

Drag a field by its grip handle to reorder it. Group related information together so a reader can follow identity, materials, manufacturing and care.

    4. 4

      Configure each card

Open the settings icon to edit its label, section, visibility, information status, unit and help text. Required by my profile is your own information requirement, not a rule verified by ToolsEdits. Changing input type clears its existing value.

    5. 5

      Customise with care

Use Custom field for information outside the library. Duplicate field makes an independent custom copy. Removing a populated field asks for confirmation and removes its entered value.

    Provided

Enter the actual value. A blank value is still missing information.

    Unknown

Use when the information is not known or has not been assessed.

    Not applicable

Use only when the information genuinely does not apply to this product.

The passport allows up to 100 field cards. Add only relevant fields instead of every field in the library. Selecting fields is not evidence that the data exists.

Enter materials without changing the facts

Use Material composition for the product’s actual breakdown. Each row can record a material name, percentage, component, mass and mass unit, recycled content percentage, data source and private evidence reference.

    1. 1

      Define a consistent basis

Use one clear basis for the percentages, such as the assessed product mass. Explain component-specific breakdowns rather than adding overlapping totals.

    2. 2

      Enter each material

Press Add material, enter its name and percentage, then add known component and mass details. A recycled checkbox alone does not specify how much recycled content the product contains.

    3. 3

      Check the total

The total is shown above the rows. Totals above 100% raise a warning and block publication. When Composition is complete is checked, a total below 100% is flagged; your values are never automatically balanced.

    4. 4

      Choose visibility

Select Public composition if readers may see this breakdown, or Restricted composition to keep the composition out of the public passport. Private evidence references are excluded from public data.

Illustrative arithmetic only: 80% cotton + 20% polyester = 100%. This is not sample product data to copy. Recycled content means recycled inputs; recyclability means how a product can be recovered after use.

Record LCA and Product Carbon Footprint information

LCA (Life Cycle Assessment) studies environmental impacts across a defined product life cycle. PCF (Product Carbon Footprint) records greenhouse-gas emissions for a defined product quantity and scope, generally expressed as CO₂ equivalent. The passport stores these assessments; it does not perform either calculation.

    1. 1

      Open the modules

In the Field library open Environmental assessment, then Life Cycle Assessment (LCA) or Product Carbon Footprint (PCF). Keep Include in passport checked for a module you want to include.

    2. 2

      Select relevant fields

Tick individual fields or use Select all suggested fields to add a starting set. Suggested does not mean legally required. Switching a module off retains its saved values but excludes that module from public output.

    3. 3

Copy scope and methodology from the report

Record the functional or declared unit, boundary, included stages, assessment date or period, methodology, standards, data sources, geographic scope and uncertainty. Do not assume that a result covers the entire life cycle.

    4. 4

Enter the PCF value and unit together

Choose kg CO2e, g CO2e or t CO2e and state the reference product quantity. Also include the system boundary and exclusions. The current numeric controls accept non-negative values; do not rewrite a negative methodological result to make it fit.

    5. 5

Attach evidence and describe review honestly

Upload the real report below, then select it in Supporting LCA report or Supporting PCF report. Owner-reviewed and owner-stated third-party verification labels are not verification by ToolsEdits.

Cradle-to-gate usually ends at the production gate; cradle-to-grave extends to end of life. Exact coverage must follow your assessment. Unselected stages mean not included, not zero impact. Report offsets separately; this builder does not subtract them from the footprint.

Primary and secondary data shares above a combined 100% raise a warning. A PCF value without a unit or boundary also raises a warning. These checks help spot incomplete entry; they do not establish that the calculation method or result is scientifically valid.

Control public information and private evidence

A saved account draft is private to its owner. Publication creates a separate public snapshot containing information selected for public sharing. A public label in an unpublished draft does not publish that field on its own.

    1. 1

      Review every field’s visibility

Open field settings and choose Public or Restricted. Supplier information and traceability start restricted; do not expose sensitive commercial data accidentally. LCA and PCF internal notes are never published.

    2. 2

      Upload supporting evidence

Sign in with Google and save the passport first. Add PDF, PNG, JPG/JPEG or CSV evidence, up to 10 MB per file. Uploaded evidence is restricted by default.

    3. 3

      Describe the document

Enter its title, document type, issuing organisation, issue date and expiry date. Check rights, accuracy and whether the document reveals personal or confidential details.

    4. 4

      Publish documents intentionally

Choose Public on publication only for files you intend anyone to access. Save after attaching or changing evidence, then generate again to refresh public document choices. A report link never overrides restricted document visibility.

Restricted means excluded from public output and available to the owner in this workspace. It does not provide an invitation-only buyer portal. Owner Draft JSON/CSV downloads may contain confidential information; keep them secure and never share them as public exports.

    STEP 3 OF 4

    Review before you publish

    1. 1

      Read the Public preview

Check the actual public-facing content, field order, photos, composition, units, environmental modules and evidence. Restricted information should not appear. On a phone open Preview.

    2. 2

      Resolve missing information

Check required fields, valid numeric values and dates, and composition warnings. Unknown and Not applicable should accurately describe the situation, not hide a required assessment.

    3. 3

      Understand the percentage

The information-provided percentage reflects entered field data, with not-applicable fields excluded. It is not a quality score, environmental rating, verification status or legal compliance percentage.

    4. 4

Use Compliance Readiness as an owner checklist

If enabled, name your regulatory profile, mark field applicability as Applicable, Not applicable or Unknown, and record whether evidence is absent, available or reviewed by you. ToolsEdits does not implement product-specific ESPR delegated-act requirements.

Review certification numbers, report dates, issuers, boundaries and claims against the source documents. “Evidence uploaded” and “evidence reviewed by owner” are different from independent verification. Do not imply the app has verified either.

    STEP 4 OF 4

    Generate, export and share

    1. 1

      Save your private draft

Save draft stores your account copy after Google sign-in. The new-passport editor also retains a local draft on this device; editing an existing saved passport does not. Neither is a substitute for a secure backup.

    2. 2

      Generate passport

From Review, press Generate passport. It saves and publishes the selected public information. Correct any validation or sign-in message and retry. Until publication succeeds there is no new public passport to share.

    3. 3

      Open the public page

Use View passport and review it as a reader. Public passports use a toolsedits.com/dpp/ link and can be read without owner sign-in. Public information is intended to be discoverable, including by search engines.

    4. 4

      Choose your export

PNG QR is a bitmap for everyday use; SVG QR stays sharp when resized; PDF label contains the QR and identifying text, not a full passport report. JSON and CSV here export public information. Republish before distributing exports of updated editor data so they match the public page. Copy link shares the web address.

    5. 5

      Test the real label

Scan the downloaded or printed QR on another device. Ensure contrast, clear space around the code, a readable print size and a working published destination before putting it on products.

Saving later edits does not replace the public snapshot by itself. Review and generate again to publish changes at the same URL. To retract already published sensitive information, unpublish promptly; changing a draft to Restricted alone does not remove the earlier snapshot. Previously issued document download links may continue working until they expire, and downloaded copies cannot be recalled.

Manage your passports from the dashboard

Open My passports after signing in. Search your products by title and filter All, Draft, Published or Archived. These are workflow statuses, not assessments of product compliance.

    Edit
Continue editing the owner copy. Save it, review changes and generate again when ready to update public information.
    View & QR
For a published passport, open its public page and sharing options.
    Duplicate
Create a separate draft for a new product. Identifiers and attached evidence links are cleared; review copied product data and upload relevant evidence again.
    Dashboard download
The dashboard download currently returns filtered public JSON despite its private-data label. Use Draft JSON in the editor for an owner-data backup, and keep that backup secure.
    Unpublish
Return to draft and withdraw the public page. The existing QR no longer opens a published passport until it is published again.
    Archive / Restore to draft
Remove the passport from active publication; an archived passport can be restored to a draft. Review before republishing.
    Delete
Permanently delete the passport record and remove its public page after confirmation. This is not a reversible archive.
    Saved history
The editor shows saved-history timestamps when available. The current interface does not offer restore-to-revision or a detailed version comparison.

For local backups use Draft JSON or Draft CSV in the editor. Import accepts JSON and CSV: JSON replaces the editable content and clears attachment links; CSV matches recognised field labels or keys and updates values. Review imports before saving or publishing. There is no direct Excel workbook import in this editor.

ESPR: the framework, not a universal approval

ESPR means the Ecodesign for Sustainable Products Regulation, Regulation (EU) 2024/1781. It creates a framework for ecodesign and information requirements intended to improve product sustainability and circularity. Digital Product Passports are part of that framework.

The regulation entered into force on 18 July 2024. This does not mean every product needed the same passport on that date. Product-specific delegated acts determine applicable requirements, data and timing. A working-plan priority or indicative adoption year is not automatically a deadline for your product.

    1. 1

      Identify the applicable product rules

Confirm your product group, market and role in the supply chain. Check adopted delegated acts, their scope, exclusions and application dates; do not rely on a generic online field list.

    2. 2

      Map requirements to evidence

Identify required data, identifier and data-carrier rules, access rights, retention, interoperability and other obligations in the applicable act. Some requirements cannot be satisfied simply by adding a field to this builder.

    3. 3

      Check other legislation separately

Separate rules can apply, for example the EU Batteries Regulation. Choosing Batteries in ToolsEdits does not implement a statutory battery passport or establish compliance with those rules.

    4. 4

      Get a qualified review

Use the builder to organise records while a responsible specialist checks your actual obligations. Recheck official sources when your category, market or product changes.

This tool does not claim official EU DPP registry registration, standards-certified interoperability, statutory data retention, role-based regulator access, accredited certification or automatic compliance. A stable public URL and QR are useful sharing features, not proof of those capabilities.

    Read the official sources

General educational context, not legal advice. Official law and applicable product-specific measures take precedence over this guide.

What ToolsEdits does — and does not claim

    What you can do

    • Manually structure product information with configurable fields.
    • Keep owner drafts and restricted fields separate from public snapshots.
    • Record existing LCA/PCF results with context and evidence.
    • Publish selected owner-provided information at a stable ToolsEdits URL.
    • Generate QR images, an identifying PDF label and data exports.
    • Use an owner-defined readiness checklist and entry validation.

    What it does not establish

    • Legal ESPR or other regulatory compliance.
    • Authenticity of certificates, supplier records or sustainability claims.
    • Independent verification, scientific review or accredited certification.
    • An official GTIN, EU registry entry or standards-certified DPP.
    • An LCA/PCF calculation or a verified environmental rating.
    • Automatic legal updates, complete statutory access controls or required retention.
The product owner is responsible for accuracy, permission to share, appropriate evidence and ongoing updates. Never use “100% provided”, “Published” or a QR as a substitute for a compliance determination.

    Key terms in plain language

    Public snapshot
The selected information made public when you generate a passport; separate from later draft edits.
    Restricted
Kept out of the public passport and public exports; intended for the owner in this workspace.
    GTIN
A Global Trade Item Number assigned through the appropriate identification system; not generated by ToolsEdits.
    Functional unit
The quantified function assessed, for example use over a stated lifetime; copy the definition from the report.
    Declared unit
A stated product quantity used as an assessment reference, as defined by the relevant method.
    CO₂e
Carbon dioxide equivalent: a common way to express different greenhouse gases using a specified method.
    System boundary
The processes and stages included in an assessment; it limits what the reported result describes.
    Owner-provided evidence
A document or assertion submitted by the owner, not authenticated or independently verified by the platform.
    Delegated act
A legal measure under the ESPR framework that can set specific requirements for covered products.
    Recycled vs recyclable
Recycled describes input content; recyclable describes potential recovery, subject to product design and available systems.

    Questions and troubleshooting

Do I need to sign in?

You can start editing without an account. Sign in with Google to save a private account draft, upload evidence, open your dashboard or publish. The new-passport editor also keeps a local draft on this browser; editing an existing saved passport does not use that local recovery. Clearing browser storage can remove the local draft.

Does Generate passport certify my product?

No. It publishes owner-provided information and creates sharing options. A QR code, a published status and the information-completeness percentage are not certification, independent verification or an ESPR compliance decision.

Why is my LCA or PCF missing from the preview?

Open Environmental assessment in the Field library, then the LCA or PCF group. Check Include in passport, add the relevant fields and enter values. Check that each intended public field is Public in its settings. A switched-off module keeps its values but excludes them from the public preview and publication.

Why is a supporting report not available publicly?

The report must be uploaded under Documents & evidence, explicitly set to Public on publication, selected in the relevant report field and included in a new publication. A public report field does not make its restricted attachment public. Public download links can expire; reopen the passport page for a fresh link.

I clicked Generate passport but nothing was published. What should I check?

Look for the Google sign-in message, missing required fields, invalid numbers or dates, and a material total above 100%. Finish sign-in and retry after correcting the reported problem. A local draft is not a published passport.

Do I need to replace the QR after editing?

Not for updates to the same passport. Save and generate again to update its public snapshot at the same URL. A duplicate is a new passport with a new identity; use its own QR. Unpublishing, archiving or deleting can make an existing QR destination unavailable.

Can I calculate an LCA or PCF here?

No. These modules record an existing assessment, including scope, units, methodology, data sources and evidence. They do not calculate environmental impacts, verify reports or subtract carbon offsets. Obtain an assessment using an appropriate method before entering results.

Can I import Excel, recover an old revision or invite a team?

The editor currently imports JSON and CSV, not a direct Excel workbook. Saved history displays timestamps; it is not a revision-restore control. This workspace is owner-scoped and does not provide team invitations or a restricted-data sharing portal.

Are all products required to have an ESPR passport now?

No universal start date or field list applies to every product. ESPR is a framework; applicable product-specific rules determine scope, information requirements and timing. Check the current official legal text for your product and market, including any separate sector legislation.
